Property Compliance Policy

Before you list for sale on Hives
- Upload scanned property documents. Sale listings require PDFs of ownership and related records so buyers and Hives can verify what is being sold.
- Expect verification. Hives may review documents online, at a Hives office, on-site at the property, or with a buyer before a transaction completes.
- Cooperate with access. You authorize reasonable property access for compliance checks even when you cannot be present, subject to applicable law.
This Policy works alongside our Terms of Service and Privacy Policy.
1. Introduction
Hives is built so people can discover, evaluate, and complete real estate transactions with more confidence. When a property is listed for sale—or otherwise offered for purchase through Hives—we apply a property compliance program. This Property Compliance Policy ("Policy") explains how document review, inspections, property access, and buyer accompaniment work on the platform.
By listing a property for sale on Hives, uploading property documents, or checking the compliance agreement during listing creation, you confirm that you have read this Policy and will cooperate with reasonable verification steps described here and in our Terms of Service.
2. Who this applies to
- Individual and organization providers listing residential, commercial, hospitality, or land assets for sale on Hives.
- Authorized agents or representatives acting on behalf of an owner where Hives has accepted that relationship.
- Buyers and explorers participating in sale workflows that Hives facilitates, including document review and accompanied inspections.
Rent, short-stay, and other non-sale listings may have separate verification requirements. This Policy focuses on sale listings and purchase-related compliance.
3. Property documents
3.1 What to submit
For sale listings, providers must upload clear scanned PDFs of documents that establish lawful ownership or authority to sell, and any supporting records a reasonable buyer would expect—such as a title deed, certificate of occupancy, deed of assignment, site plan, leasehold documents, or power of attorney where applicable. You name each document when uploading so Hives reviewers know what they are evaluating.
3.2 Accuracy and originals
You represent that uploaded scans are complete, legible, and faithful to the originals in your possession or control. Keep originals available. Hives may reject uploads that are incomplete, altered, inconsistent with other records, or unrelated to the listed property.
3.3 Listing status
A sale listing may remain in draft or pending review until Hives approves submitted property documents. We may pause, reject, or remove a listing if documents are missing, disputed, or fail review.
4. Online and in-person review
Hives reviews property documents through a combination of remote and in-person methods, including:
- Online review of uploaded PDFs and metadata in our verification queue;
- Comparison of scans against original documents at a Hives office or agreed meeting point;
- On-site visits to the listed property to confirm location, condition, and consistency with submitted records;
- Follow-up requests for additional documents, clarifications, or third-party confirmations.
You agree to respond promptly to review requests and to make yourself—or an authorized representative—available when an in-person meeting is required. Failure to cooperate may delay publication or result in suspension of listing privileges.
5. Property access
To protect buyers and the integrity of the marketplace, you authorize Hives—and specialists Hives engages—to request reasonable access to the listed property for compliance purposes. This may include:
- Scheduling inspections with you or your agent present;
- Coordinating access through a property manager, security desk, or trusted third party;
- Entering the property without your physical presence when you have pre-authorized access for verification, where permitted by law and any existing tenancy or occupancy arrangements.
Hives will use commercially reasonable efforts to give notice, respect lawful occupant rights, and minimize disruption. You remain responsible for informing tenants, neighbors, or estate managers as required by your local rules.
6. Buyer inspections
When a buyer expresses serious interest or proceeds toward a purchase facilitated through Hives, our team may accompany the buyer—or coordinate a qualified inspector—to visit the property before or after an offer, depending on the transaction stage and local practice. These visits help confirm that the physical asset matches listing representations and approved documentation.
Hives does not replace independent legal, survey, or engineering advice. Buyers should still conduct their own due diligence. Hives accompaniment is an additional safeguard within our compliance program, not a guarantee of condition or title.
7. Hives accountability
Hives invests in verification because trust in listings affects everyone on the platform. When a verified sale workflow on Hives results in material harm caused by fraudulent documents, misrepresented ownership, or a failure of our compliance process that is directly attributable to Hives, we will work with affected parties toward a fair remedy—which may include investigation, listing removal, account action, coordination with authorities, and platform-level support as described in our Terms of Service.
This section does not expand Hives into an insurer of every property defect, market loss, or dispute between private parties. It reflects our commitment to stand behind the compliance steps we perform when something goes wrong because our review process failed in a material way. Specific remedies depend on the facts, jurisdiction, and applicable Terms.
8. Your cooperation
- Maintain accurate listing details that align with submitted documents.
- Notify Hives promptly if ownership, encumbrances, or occupancy status changes.
- Do not mislabel documents or submit records for a different parcel or owner.
- Honor viewing and access windows agreed for Hives or buyer inspections.
Repeated non-compliance may lead to rejection of documents, revocation of provider privileges, or account suspension under our Terms of Service.
9. Changes to this Policy
We may update this Policy as our compliance program evolves. When we make material changes, we will post the updated version with a revised effective date and, where appropriate, notify providers through the product or by email. Continued use of sale listing features after changes take effect constitutes acceptance of the updated Policy.
